Terms of Service
Short, and in plain words. If any of it is unclear, ask us before you rely on it. We would much rather answer a question now than argue about a clause later.

The agreement
These terms are between your company and Work Mint People. They apply when your company uses Work Mint, whether on a free demo workspace or a paid account. If you are agreeing to them, you are confirming you may do so on your company’s behalf.
What we provide
Access to Work Mint for the people your company authorises: employee records, attendance, leave, payroll, reporting, and whichever other modules your account includes. We keep it running, fix faults, and improve it. We will tell you before we remove anything you depend on.
Free demo workspaces
- A demo workspace is there so you can try the product properly. It comes filled with sample data we generated, not with anybody's real records.
- It is temporary. The free period runs for three months, and there is one workspace per device. Please do not put real employee data in it, and please do not run a real payroll from it.
- Whatever you put in it stays yours. We do not use it to build, train or improve anything. We do not share it and we do not sell it, and nobody here looks at it unless you ask us for help with a problem.
- Nothing can be taken out of a demo. While a workspace is a demo, exports, downloads and saved reports are switched off. It is there for you to look at and try, not to keep records in.
- If you subscribe before it ends, nothing is lost. Take out a subscription inside the three months and the demo simply becomes your account. The same data, the same users, the same settings, and exports and downloads start working.
- If you do not, it is deleted when the demo ends. At the end of the three months the workspace goes, and so does everything in it: the records you added, the user accounts, the sign-in history. We delete it automatically, which means there is nothing left for us to recover and nothing we can send you afterwards. We write to you a week beforehand so the date is never a surprise.
- It is not kept after that either. We do not restore a deleted demo from backup. The backups we take are there to recover from a fault and they are deleted on a cycle of their own, so within 90 days of a demo being removed there is no copy of it left anywhere we hold.
- If a demo workspace is being used to run a real business rather than to try the product, we may remove it sooner.
What your company is responsible for
- The accuracy of what goes in. Salaries, tax configuration, statutory rates and attendance data are entered and approved by your company. We provide the calculation; your company owns the figures and is responsible for checking them before anybody is paid.
- Who has access. Your company creates its own users and assigns their roles, and is responsible for removing people who leave.
- Lawful use. Holding employee records carries duties where your company operates, and meeting them is your company’s responsibility.
- Account security. Keep credentials private. Tell us promptly at info@workmintpeople.com if you think an account has been compromised.
Tax and statutory calculations
- You set the rates. Income tax bands, social security, pension and provident fund contributions and every other statutory rate are entered into Work Mint by your company, for the country and the financial year you work in. They are your figures, taken from the law that applies to you.
- Work Mint applies them and nothing else. A payroll run is arithmetic done on the rates you entered and on the salary, attendance and leave data in your workspace. The software does not know what the law says where you are. It does not check your rates against it, and it does not update them when the law changes.
- Keeping them up to date is your job. Rates change, and a new financial year needs new figures. If an old rate is still in the system, payroll will use it, and the run will look exactly as finished as any other.
- We may help you set them up, but they are still yours. If we help you load rate tables while you are getting started, that is help with data entry. It is not tax advice and it is not us approving your figures. Your company checks them and approves them before anybody is paid.
- We are not responsible for your tax calculations. That goes for what your company files, and for what a tax authority decides later. Work Mint is software. It is not a tax adviser and it is not a filing agent. Where the figures matter, have somebody who knows your jurisdiction check them.
Who owns the data
Your company does. Everything your company puts into Work Mint stays your company’s, and you can export it at any time, except in a free demo workspace, where downloads are switched off. We hold it to run the service, as described in our Privacy Policy. We own the software itself.
Availability
We aim to keep the service available and we publish what it has actually done rather than what we would like to claim. Maintenance happens, and occasionally something breaks. We do not offer a contractual uptime guarantee today, and we would rather say that than write one we have not yet earned the measurements to stand behind.
Paying for it
Paid accounts are charged per employee, on the plan agreed with your company, invoiced in advance. Rates and terms are agreed with you directly. If an invoice goes unpaid we will contact you before suspending anything, and suspension does not delete your data.
Ending it
- Your company can stop at any time. Tell us, and we will export your data and close the account.
- We can end the arrangement with reasonable notice, or immediately if the service is being used unlawfully or in a way that endangers other customers.
- Either way, your data is yours: ask for the export before the account is closed, and we will provide it.
Liability
We provide the service with reasonable skill and care. We are not liable for losses arising from figures your company entered, configured or approved, nor for indirect or consequential losses. Nothing here limits liability that cannot lawfully be limited.
Changes to these terms
If these terms change we will update this page and move the date at the top, and we will email customers about anything material rather than relying on you to notice.
Law
These terms are governed by the law of England and Wales, where the service is hosted. That does not remove any rights your company has under the law of the country it operates in.
Published in English, which is the authoritative version. Ask us at info@workmintpeople.com if you need anything here explained in another language.
